What does Smart Design Expo do?

We design and build award-winning exhibition stands.

Since 2006, we have delivered projects for brands from around the world at trade shows across Europe and beyond.

Our services cover exhibition stand design, technical planning, production, logistics, installation and dismantling. Depending on the project, we can manage the entire process or build a stand based on a design supplied by the client or agency.

What services does Smart Design Expo provide?

Everything needed to take an exhibition stand from the first idea to the finished space on the show floor. 😉

We start by reviewing your requirements, brief and objectives for the event. From there, our designers develop the creative direction, visual concept and stand design.

We also consider how the space will function during the event, how visitors will move through it, how visible the brand will be and what the team working on the stand will need.

Our services include:

  • analysis of requirements and project assumptions, including a review of previous trade show presence,
  • moodboards, inspiration and creative concepts,
  • exhibition stand design and visualisations,
  • design supervision,
  • technical coordination and detailed production documentation,
  • production at our own facility, including carpentry, structural, painting and graphic elements,
  • large-format graphics and stand signage,
  • selection and delivery of lighting, furniture and equipment,
  • production of custom elements for individual projects,
  • logistics, packing and transport,
  • exhibition stand construction and installation at the venue,
  • on-site project support,
  • dismantling after the event.

Our own production facilities, warehouse and technical infrastructure allow us to manage the project in one place. This gives us direct control over production quality, schedules and changes introduced during the process.

I already have my own design. Can Smart Design Expo build it for me?

Yes.

If you already have a finished design, we can take care of production and installation.

Our technical team reviews the documentation, suggests any necessary optimisations and prepares the project for production and on-site construction.

We regularly work with brands and agencies that provide their own concepts and need an experienced exhibition stand contractor to turn them into finished spaces.

Can I see a portfolio of completed projects?

Yes.

You can find a selection of our projects at https://smartdesign-expo.com/en/portfolio-2/

You can also download our portfolio in PDF format directly from the website or request it by email.

If you cannot find a project from your industry or from the trade show you are planning to attend, contact us. We do not publish every project we have completed in our portfolio. 😉

Do you build exhibition stands outside Poland?

Yes.

We work at trade shows throughout Europe and worldwide, including:

  • Germany: Berlin, Frankfurt am Main, Munich, Düsseldorf, Hanover, Cologne, Stuttgart, Nuremberg and Hamburg,
  • France: Paris, Cannes and Nice,
  • Italy: Milan and Bologna,
  • Spain: Barcelona,
  • the Netherlands: Amsterdam,
  • Switzerland: Geneva,
  • the United Kingdom: London, Birmingham and Farnborough,
  • the USA.

As members of IFES and ESSA, we work according to international industry standards.

Our location in Poland also allows us to efficiently manage projects across many of Europe’s largest exhibition centres.

What does the process of working with Smart Design Expo look like?

If we develop the design:

  1. Analysis and strategy – consultation, discussion of the brief, budget and project requirements.
  2. Inspiration presentation – discussion and selection of the design direction.
  3. Concept and visualisations – development of the exhibition stand design.
  4. Project consultation – presentation and discussion of the concept.
  5. Production – including lighting and equipment.
  6. Designer supervision.
  7. Logistics and transport.
  8. Installation and dismantling of the exhibition stand.

If you already have a finished design and only need us to build it:

  1. Discussion of your project
You send us your enquiry and we arrange a meeting. From this point, a dedicated Project Manager becomes your main contact. At this stage, we also discuss your budget so that we can prepare an appropriate quotation.
  2. Quotation
We prepare a detailed breakdown of elements, services and costs. If the scope changes, we update the quotation during the project.
  3. Technical Manager assigned to your project
Every project receives a dedicated Technical Manager. This person prepares the technical documentation, discusses technical details and possible solutions with you, and supervises production and installation on site.
  4. Production preparation
We prepare technical and production drawings.
  5. Production
The exhibition stand is manufactured in our production facility.
  6. Logistics and installation
We transport all elements to the venue and install the stand under the supervision of the Technical Manager.
  7. Exhibition stand dismantling

This structure keeps the entire exhibition stand design and build process clear, from the first technical review to the finished stand.

How much does an exhibition stand cost?

It depends on the type of exhibition stand you need.

The cost is influenced by factors including:

  • stand size,
  • type of construction,
  • materials,
  • equipment,
  • location of the event.

Tell us your budget and we can assess which design and technical solutions can be delivered within it.

A custom-built exhibition stand is always priced individually because the final cost depends on its size, design and technical requirements.

What makes Smart Design Expo different from other exhibition stand companies?

Our focus is on design and an experienced team that stays involved from concept to installation.

Our strengths include:

  • our own production facilities – giving us direct control over quality and schedules,
  • a multidisciplinary team – architects, Project Managers, technicians, carpenters and electricians working under one roof,
  • dedicated specialists – one Project Manager accompanies the project throughout the process, while our team also supports clients with design, production, orders, utilities and technical documentation,
  • international certifications and awards – IFES and ESSA memberships as well as WORLD EXHIBITION STAND AWARDS, IF DESIGN AWARD, A’DESIGN AWARD, TRADE FAIR DESIGN ANNUAL, EXHIBIT DESIGN AWARDS, EXHIBITOR MAGAZINE AWARD and DIAMENT FORBES,
  • design, production and implementation within one team – without requiring the client to coordinate several separate suppliers.

For clients looking for exhibition stand builders, having design, technical expertise and production within one company makes the process easier to coordinate.

How much time is needed to prepare an exhibition stand?

It is never too early to start planning. 😉

We recommend contacting us at least 6–8 months before the event.

This provides enough time for planning, consultations, production and installation.

If your deadline is shorter, contact us anyway. We plan our production well in advance, but available slots occasionally appear. Capacity also depends on the time of year.

For larger or more bespoke exhibition stands, starting earlier gives the design and technical teams more time to work through approvals, materials and production details.

I need an exhibition stand larger than 1000 m². Do you deliver projects of this scale?

Yes. We have experience in designing and building large-scale exhibition stands.

We deliver projects of 1000 m² as well as 3000 m², 6000 m² and larger.

Our partners and clients also choose us for technically and organisationally demanding large-scale projects.

Our production facilities and technical team allow us to manage both the manufacturing and construction of stands of this size.

Will I have dedicated contacts throughout the project?

Yes.

Every project is assigned a Project Manager and a Technical Manager / Designer.

They coordinate and supervise the work connected with your project and stay involved throughout the entire process of creating your exhibition stand.

Does Smart Design Expo manage trade show programmes and recurring exhibition projects?

Yes.

We have worked with clients on recurring events and trade show programmes for years.

If you are planning several events or a longer exhibition programme, we can coordinate individual projects and adapt the design to different venues and stand spaces.

This can also include a series of custom exhibition stands based on one visual direction while adjusting each version to the requirements of a particular event.

Which industries do you work with most often?

We design and build exhibition stands for companies from many industries, including:

  • pharmaceuticals,
  • biotechnology,
  • medical device manufacturing,
  • container and packaging manufacturing,
  • industrial machinery,
  • automotive,
  • IT,
  • cosmetics,
  • FMCG,
  • furniture and design,
  • construction,
  • medicine,
  • energy and renewable energy,
  • food production,
  • gaming,
  • gambling.

This is only a selection of the industries we regularly work with.

If you would like to know whether we have already completed projects for your industry, contact us.

What is a brief and how should I complete it?

A brief is a short questionnaire containing the main information about your requirements and objectives.

At the beginning of the design process, we ask you to complete our project brief.

It covers areas such as:

  • objectives for your trade show participation,
  • preferred stand style,
  • budget,
  • functional requirements.

The more information you provide, the more accurately we can tailor the design and quotation to your requirements.

Do you handle formalities with the trade show organiser?

Yes.

We prepare technical documentation, submit the required documents to the organiser, coordinate approvals and check that the project complies with the venue regulations and fire safety requirements applicable in the respective country.

Our technical team also stays in contact with the organiser when issues relating to construction, utilities or documentation need to be resolved.

What materials and technologies do you use to build exhibition stands?

We select materials based on durability, appearance, technical requirements and the fire safety regulations of the relevant exhibition venue.

We use:

  • wood, plywood and furniture boards for custom-made joinery,
  • aluminium and steel profiles and steel structures,
  • raised floors, carpets and panels,
  • double-deck structures,
  • tension fabrics and large-format graphics,
  • lightboxes and LED lighting,
  • LCD displays, touchscreens and seamless video walls,
  • AV solutions including sound systems and lighting,
  • glass.

The final selection depends on the design, structure and technical requirements of each project.

Because we manufacture stands in our own production facility, we can also create individual architectural, structural and furniture elements for bespoke projects.

Do you provide lighting and furniture for exhibition stands?

Yes.

We have our own furniture and lighting resources.

We also supply equipment for back-of-house and service areas, including refrigerators and coffee machines.

Many elements, such as counters, decorations and product displays, can be manufactured specifically for the project or purchased for the client.

We can also produce custom-made furniture.

Can I reuse the same exhibition stand several times?

Partly yes, but usually not in its entirety.

Our exhibition stands are designed for a specific floor space and its technical conditions.

Individual elements such as:

  • counters,
  • furniture,
  • decorations,
  • other reusable equipment

can be used again at future events.

For our clients, we can store these elements and refurbish them when required so that they are ready for their next use.

When we know from the beginning that a brand plans to attend several events, we can also take reuse into account during the stand design process.
